Privacy Policy

This policy explains what Saez Automation LLC collects, why, and who else touches it. It covers this website and the lead-response service.

1. Who we are

Saez Automation LLC, a Florida limited liability company. Contact: jared@saezautomation.com.

2. Two different kinds of data

It matters which one you are, because the answers differ:

  • You contacted us. You filled in a form here or emailed us about buying the service. We are the controller of that data.
  • You contacted one of our clients. You enquired with a business that uses our service, and our system generated the reply you received. That business is the controller; we process the data on their instructions. Direct any request about your data to them — though you can write to us and we will help you reach the right place.

3. What we collect

When you contact us directly, we collect what you type in: your name, email address, and — if you choose to give them — your phone number, business name, and message. Nothing on our form is required except a name and an email.

When our system handles an enquiry for a client, it processes the contents of that enquiry: the sender's name and email address, any phone number in the message or signature, and the message text.

We do not use advertising trackers, analytics cookies, or third-party marketing pixels on this website. There is no cookie banner because there are no cookies to consent to.

4. Why we process it

  • To reply to you, which is the entire point of the service.
  • To keep a record of leads and replies for our clients.
  • To operate and support the service, including fixing it when wrong.
  • To take payment and meet our legal and accounting obligations.

We do not sell your data. We do not share it with advertisers. We do not add you to a marketing list because you filled in a form.

5. Who else processes it

Running this service means data passes through other companies. These are all of them:

  • Anthropic — the AI model that writes replies. Enquiry content is sent to it to generate the reply.
  • Make.com — the automation platform that moves data between the steps.
  • Google — Gmail sends the replies; Google Sheets stores the lead log.
  • Stripe — payments. Card details go directly to Stripe and are never seen or stored by us.
  • Cloudflare — serves this website and sees standard request logs, including IP addresses.

Each processes data under its own terms. We do not send your data anywhere that is not on this list.

5a. The client portal

Clients can sign in to a portal to see the leads their automation has answered. Signing in works by emailed link — we do not store passwords.

The portal sets one cookie, which keeps you signed in for seven days. It is strictly necessary for the portal to work, it contains only your email address and which business you belong to, and it is not used for tracking or analytics. Signing out clears it.

The portal displays lead data from your existing log. It does not create a new copy of it.

6. How long we keep it

Enquiries you send us are kept while there is an active conversation and for a reasonable period afterwards in case you come back. Lead logs generated for a client live in that client's own Google account and are governed by their retention choices, not ours. Billing records are kept as long as tax and accounting rules require.

7. Your rights

You can ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted. Email jared@saezautomation.com and we will act on it. If the data was processed on behalf of a client, we will tell you which business to contact and help you get there.

We do not currently operate a formal GDPR or CCPA compliance programme. If you are covered by either and have a request, write to us and we will deal with it on its merits rather than pretending a process exists that does not.

8. Security

Credentials for the systems above are stored in the platforms' own credential managers, not in our code. Each client's email connection is kept separate — one client's connection is never used to send on behalf of another.

No system is perfectly secure and we will not claim otherwise. If a breach affects your data, we will tell you.

9. Children

This is a service sold to businesses. It is not directed at children and we do not knowingly collect their data.

10. Changes

If this policy changes, the date above changes. Material changes affecting active clients are communicated by email.
